Challenge: End-of-Life Workstations and an Unresponsive MSP

The organization was paying between $10,000 and $12,000 per month for managed IT services. In exchange, they had an MSP whose owner had gone unreachable and whose on-site technician openly admitted he worked on whatever his boss told him to — not what the client actually needed.

The situation had grown untenable. A broken email signature setup was routing MX records through local servers instead of Microsoft 365 directly, and the configuration broke every time a new show season started. Meanwhile, 45 Windows 7 workstations — end-of-life for years and past any reasonable replacement window — still hadn’t been touched.

Joe Pennel, now President of Netcosa, recalls what the organization was dealing with:

“They felt like they were coming in there and just working on other stuff and not handling their problems, and they were just super, super frustrated. And they were mad, and the owner was nowhere to be found.”

The computers needed to go. The email routing needed to be fixed. And the organization couldn’t lose days of productivity waiting for machines to be set up one at a time.

Solution: Rapid Managed IT Services Deployment

Joe flew in on a Friday with one technician. What made the turnaround possible wasn’t just the people in the room — it was the work done before anyone boarded a plane.

Step 1 — Pre-deployment scripting. Before arriving on site, the team built Group Policy Objects (GPO scripts that run automatically when a user logs in for the first time) to handle every element of each workstation setup: shared network drives, line-of-business applications, and email configuration. The goal was to make each new computer configure itself on first login rather than require manual setup per user.

Joe describes the approach:

“The planning stage — not with the client, but internally — on how we can deploy 45 computers in just a matter of a couple of days. Setting up scripts and GPOs and all of that stuff before we even get on site. That was the reason why it worked so well.”

Step 2 — On-site staging and hand-configuration. The team staged all 45 computers in a conference room. When the imaging process ran into failures, they adapted — hand-configuring machines directly rather than waiting for a process that wasn’t working. The work ran Friday night into Saturday, then all day Sunday.

Step 3 — Monday go-live support. The team stayed on-site into Monday to support staff as they logged into their new machines for the first time, catching any edge cases and ensuring accounting and bookings operations could resume without a gap.

Step 4 — Post-takeover cleanup. After taking over the account, Joe decommissioned around six local servers the organization had been running unnecessarily. He also eliminated the broken signature-injection system entirely and corrected the MX record routing to run through Microsoft 365 directly — meaning email signatures would automatically reflect each new show season without the recurring failure that had been frustrating the team for years.
